Paid Hike Refund Policy

The Bruce Trail Conservancy hiking program, run by the nine Bruce Trail Clubs, provides enjoyable and memorable hiking experiences. While most organized hikes are free of charge, some hikes/events have a charge for participating. We understand that sometimes plans change, and we aim to offer a fair refund policy that respects the participants, Bruce Trail Clubs and Bruce Trail Conservancy.  

Registration Cancellation 
  • Refunds will be managed on a request basis, for the Club’s consideration. 
  • If approved, refunds will be subject to a 10% processing fee. 

Considerations informing the Clubs decision may include one or more of the following: 

  • Timing: refund requests will only be considered by the Club when cancellations are made more than 30 days before the event start date/time.
  • Financial commitment: for Club events where upfront costs are involved (transportation, park fees, etc.), there may be less flexibility. 
  • Replaceability: if another participant can replace the cancelled registration. 
  • Extenuating circumstances: humanitarian (financial circumstances) or exceptional circumstances (injury, etc.). 
Event Cancellation 
  • If an event is cancelled due to unforeseen circumstances (such as severe weather and safety concerns), participants will receive a full refund, including the processing fee. 
  • Low registration: If the participant registration is too low, the event may be cancelled, and participants will receive a full refund, including the processing fee. 
Refund Process 
  • Registrants may submit a refund request upon cancelling their registration 30 days before the event’s start date/time.  
  • Refund requests will be sent to the Club Hike Leader/Event Coordinator to review. Please allow for 10+ days for a response, depending on the circumstances of the request. 
  • You will be notified by email after your request has been reviewed.  
  • If approved, your refund will be processed within 5 business days of approval. 
  • Funds will be issued to the original method of payment, minus the 10% processing fee when applicable.  
  • Fees from cancelled registrations are not eligible to be tax receipted. 
No-Shows  
  • Registered participants who do not show up for an event are considered “no-shows” and will not be eligible for a refund.  
  • Fees from no-shows are not eligible to be tax receipted. 
Definitions 

Bruce Trail Conservancy Hiking Program – All hikes/events listed on hikes.brucetrail.org are part of the Bruce Trail Conservancy Hiking Program. These hikes/events are organized and led by Bruce Trail Club volunteers. 

Event Start Date/Time – Refers to the Date/Time listed within the hike listing. If the event is a Multi-Day Hike, this refers to the first date of the series. 

Processing Fee – Although the hikes/events are facilitated by the Bruce Trail Clubs, payments and refunds are processed by the Bruce Trail Conservancy. The processing fee on refunds covers the credit card transaction fees and BTC administrative costs.
